What does an AI consultant actually do for a small or mid-sized business?

Not install a chatbot. The work starts with an audit of how the business actually handles work today — who touches each task, how often, and where it stalls — because most companies do not have an AI problem; they have a process problem that AI keeps getting blamed for. We then fix the process, because automating a broken workflow just breaks it faster, and only then build automation where it is measurable: minutes saved per task, revenue recovered from missed follow-up, errors removed from a handoff. The consultant's job is to know which of your workflows are worth automating, which are not, and what should stay human — and to write that down so it survives.

Which workflows are usually automated first?

The high-volume, low-judgment ones that sit between a lead or request arriving and a person acting on it: first response to enquiries, structured intake questions, scheduling and confirmations, follow-up sequences on quotes and proposals, document collection, meeting notes and summaries, and routine internal reporting. These are the same in a law firm, a medical practice, an insurance agency or a contractor — only the vocabulary changes. They pay back fastest because they run every day, they are already written down somewhere as a script or a checklist, and no one is doing them well by hand at 6pm.

How do you handle sensitive or regulated data?

By deciding, in writing, which categories of information are allowed near which tools before anything is built. The answer depends on the data category, the vendor's terms, where processing happens and what is retained — not on AI in general. Most organizations have a substantial amount of ordinary internal work that carries no restriction at all, and that is usually where the first projects come from. Anything touching protected health information, client legal matters or financial account data gets a separate, tightly scoped path with the right agreements in place, and often the right answer is that it stays human.

What does the AI Business Assessment cost and what do I get?

The assessment is free. It takes two to three minutes online and leads to a one-hour working session where we map your business through eight lenses and produce a prioritized list of what can realistically be automated in the next ninety days, scored by effort and risk, with a clear line around the work that should stay human. You leave with a written map you can act on with us or without us. Scope and pricing for implementation follow from what the assessment actually finds rather than from a package chosen in advance.

How is this measured?

In one of three units, agreed before the work starts: time saved, money made or quality improved. Time saved is measured against a baseline we capture during the audit — minutes per task times volume. Money made is recovered revenue: quotes followed up that were not, leads answered that were not, renewals retained that would have lapsed. Quality improved is error rate, response time or consistency on a defined workflow. If an automation cannot be tied to one of those, we do not recommend building it.
