VODPOD MEDIA LLC ("VODPOD", "we", "us") is a video podcast production studio and AI consulting company based at 106 Auditorium Circle, Suite 200, San Antonio, Texas 78205. This policy covers vodpodmedia.com and the forms, assessments and booking tools we run on it. It does not cover third-party sites we link to.

We collect information you give us directly and information generated when you use the site:

• Contact details you submit through our contact form, assessments or booking flow: name, email address, phone number, company and website.
• Assessment answers: the responses you give in the AI Business Assessment or Content Multiplier Assessment, which we use to prepare for your call and to score fit.
• Booking details: when you schedule a call through Cal.com, we receive your name, email, chosen time and any notes you add.
• Usage data: pages viewed, approximate location, device and browser type, and referring site, collected through Google Analytics 4 using cookies and similar technologies.
• Account data: if you are a client with a login, the email address and profile details you register with.

• To respond to enquiries, run assessments and schedule and prepare for calls.
• To deliver production, content and consulting services you have engaged us for.
• To send follow-up email about an assessment or enquiry you started. You can opt out of marketing email at any time using the link in the message or by emailing us.
• To understand how the site is used and to improve it.
• To meet legal and accounting obligations and to protect our rights.

We do not sell personal information, and we never sell or share mobile phone numbers or SMS consent data. We do not use assessment answers to train AI models.

If you give us your mobile number and opt in, VODPOD MEDIA LLC may send you text messages about your enquiry, your assessment, your bookings and the work we are doing for you. You opt in by checking the consent box on a form, by texting us first, or by telling us in writing that you want text updates. Consent to receive texts is never a condition of buying anything from us.

No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. Mobile numbers are shared only with the messaging providers that transmit our messages on our behalf, and only so the message can be delivered.

• Message frequency varies. Conversational and service messages are sent as needed in reply to you or about active work; recurring updates are limited to no more than about 4 messages per month.
• Message and data rates may apply. Your mobile carrier's standard rates apply to messages you send and receive.
• Reply STOP to any message to opt out at any time. We will send one confirmation and then stop texting you.
• Reply HELP for help, or contact us at the phone number or email address at the bottom of this page.
• Carriers are not liable for delayed or undelivered messages.

We use a small number of providers to run the site, each acting on our instructions under their own privacy terms: Vercel (hosting), Neon (assessment database), InsForge (client accounts and chat), Postmark (transactional email), Cal.com (scheduling) and Google Analytics (usage measurement). Where we embed video or icons from third parties, those providers may receive your IP address when the asset loads.

We use first-party cookies to keep an assessment session in progress and, where you sign in, to keep you signed in. Google Analytics sets cookies to distinguish returning visitors. You can block or clear cookies in your browser; the site will still work, but an in-progress assessment will not be remembered.

Enquiry and assessment records are kept for as long as we have an active relationship with you and for up to three years afterwards, unless you ask us to delete them sooner. Analytics data is retained according to Google's default retention window. Client project files are kept for the term of the engagement and as agreed in your statement of work.

You can ask us to access, correct or delete the personal information we hold about you, or to stop sending you marketing email, by writing to the address below. We will respond within thirty days. If you are in a jurisdiction with specific privacy rights, such as California or the EU, those rights apply and we will honour them.

Data is transmitted over HTTPS and stored with providers that maintain industry-standard controls. No system is perfectly secure; if we learn of a breach affecting your information we will notify you as required by law.

Our services are for businesses. We do not knowingly collect information from anyone under 16.

We may update this policy as the site or our services change. The effective date at the top of the page tells you when it was last revised, and material changes will be noted here.
